Where NEMT revenue leaks

The trips you lose are rarely the ones you drove badly.

Most NEMT losses start on the phone: a ring nobody answered, a confirmation nobody made, an authorization nobody checked. Each one quietly moves work to the next provider on the broker's list.

01

The phone stops earning at 5pm

Same-day changes, will-calls, and new standing orders arrive long after office hours. Whoever picks up first keeps the trip — and the reimbursement.

02

Unconfirmed rides become empty seats

Skip the reminder call and members forget, vehicles roll empty, driver hours are spent, and none of it is billable.

03

One missed authorization wipes out the margin

A trip completed without verified eligibility is a trip you cannot invoice. The work happened; the payment never arrives.

04

The owner ends up on the radio

When a dispatcher quits or calls in sick, scheduling falls back to whoever is left — usually the person who should be selling new contracts.

Scope of work

Everything between the ring and the completed trip.

Dispatchers trained on Medicaid transportation rules, broker expectations, and the daily reality of keeping vehicles moving.

Call answering and trip booking

Every ring picked up, every trip entered straight into your scheduling system.

Eligibility and authorization review

Coverage confirmed against broker and Medicaid rules before a vehicle is assigned.

Driver assignment and live dispatch

Trips matched to the right vehicle type, location, and available driver.

Reminder and confirmation outreach

Day-before and morning-of calls that keep no-shows off your scorecard.

Trip documentation for billing

Clean logs, timestamps, and notes so claims and broker submissions go out complete.

Standing orders and recurring runs

Dialysis, therapy, and other repeat schedules maintained week after week.

Will-calls and same-day changes

Return trips captured and re-sequenced without blowing up the rest of the route.

Escalation to your on-call staff

Genuine emergencies reach a human on your team; everything else is handled and logged.

Message pad vs. real dispatch

An answering service takes notes. A dispatcher moves vehicles.

Generic answering service

Treats your call like any other

  • Whoever is free that hour picks up
  • Reads a message pad, then hangs up
  • No familiarity with Medicaid or broker rules
  • Cannot assign a driver or touch your schedule
  • Will-calls and standing orders are foreign terms

We keep the account by performing, not by contract.

What NEMT operators tell us matters most.

Illustrative examples of the outcomes providers ask us for — we replace these with named client feedback once accounts approve it.

I was answering booking calls at six in the morning and still missing the evening ones. Handing the desk over gave me my week back, and the trips kept flowing.

The reminder calls were the surprise win. Fewer empty runs, and our broker numbers stopped drifting down every month.

NEMT dispatch questions, answered.

Which Medicaid brokers can your team handle?

Our dispatchers are trained on the rules and portals of the brokers our clients use most, including ModivCare, MTM, Access2Care, Veyo, and state Medicaid programs. If you use a broker we have not seen, we train on it during onboarding.

Do we have to change our dispatch software?

No. We log into the platform you already run — RouteGenie, Tobi, NEMT Cloud Dispatch, a broker portal, or your own tooling — and follow the same trip-note and scheduling habits your team uses today.

What hours can we cover?

Anything from extended weekday hours to full round-the-clock coverage. We size the team to your real call volume, so you are not paying for idle seats.

How long does onboarding take?

Most providers are live within five business days: one call to map your workflow, a few days to build scripts and train the dispatcher, then a supervised first shift.

Are we locked into a contract?

No. Coverage runs month to month and you can stop with notice. We would rather keep the account on results than on paperwork.

Will members or brokers know the desk is outsourced?

They experience one team. Your dispatcher greets callers in your company name, uses your scripts, and documents everything in your systems.

How do you protect member health information?

We work under a signed BAA with named logins, role-based access, restricted floors with no personal devices, and HIPAA training for every dispatcher.
